What Archimedes is, and why we built it

The problem: five programs that don't talk to each other

Walk into almost any small or mid-sized company and you'll find the same scene: one program for invoices, one for customers, one for stock, an online shop, email, and a spreadsheet holding everything else together. Each does its own job well. The trouble is they don't talk to each other.

So every day someone plays the bridge. They copy a customer from one program to another, check that the stock figure is right, export the data to see how the month is going. It's work that shows up on no balance sheet, yet it eats hours every week. And every copy is a chance to get something wrong.

The idea: one program, one brain

Archimedes started from a simple question: what if everything lived in the same place? Not five programs held together with wires, but one, made of many modules that all write to the same database. It works on three levels:

• The modules record. Sales, invoices, stock, people, projects: over 30 modules on one database. A customer exists once, and everyone sees it.
• The AI Brain understands. Data, documents, emails and history read together, always within the permissions of whoever asks.
• The agents act. Digital co-workers that prepare quotes, record invoices and send reminders. You check and approve.

That's what makes our artificial intelligence different. An AI sitting on top of separate programs sees one piece at a time, so all it can do is suggest. Archimedes' AI sees customer, order, stock, invoice and payment in one place. That's why it can finish the work.

What changes, in practice

Take a quote request that arrives by email. Today someone reads it, looks up the customer, checks prices and stock, writes the quote and sends it: twenty minutes or so, if all goes well. With Archimedes the agent does all of that in under a minute and leaves you the draft. You read it, tap "approve", and it goes out from your inbox.

Now multiply that by the quotes, the supplier invoices, the reminders, the bank transfers to match and the customer questions. In a company of 15 people, that's more than 50 hours a month back in your hands.

And then there's what no spreadsheet ever gave you: the full picture. When sales, costs, margins and people live in one place, you finally see where you make money, where you lose it, and what to change.

You stay in charge

Every agent works the way you decide, task by task: off, in draft or automatic. It always starts in draft, and you raise its autonomy only where you trust it. Invoices and payments always carry your signature, every action is tracked, and the agents only see what you see.

Your data stays yours: it lives in your dedicated database, hosted in Europe, and it trains no artificial-intelligence model.

How you start

You don't have to change everything in a day. You start with one area — invoicing, stock, sales — and the rest comes when you want it. We import the data, you check it before going live, and meanwhile the company keeps working.
